What is included?

Unless free build space has been contracted, as standard each exhibitor will be provided with shell scheme setup including:

  • Screen-printed name board with stand number and exhibitor name up to 34 characters
  • Wall that backs on to an adjacent stand
  • Standard exhibition carpet
  • 1 x power socket
  • 1 x spotlight
  • 1 x 6ft clothed trestle table
  • 2 x chairs

How can I order additional items for the stand?

The supplier for this is GES. If you would like to add any stand enhancements, you can order these through the GES online order portal below;

Please create an online account and use your stand number from your email. The platform is quite intuitive and covers the following;

  • Electrical
  • Flooring
  • Furniture
  • Stand extras (storage, shelving, walling)

How can I order additional AV items for the stand?

The supplier for this is Cue Media and the form can be found here. Please return the completed form to projects@cue.events.

Health and Safety

During the build, breakdown and open event periods, all exhibitors/contractors must ensure that their participation at the event is carried out safely. To enable us to provide you and your staff an experience that is both rewarding and safe we will require either a declaration or risk assessment form from yourselves to confirm that the business activities you intend to engage in are reasonably safe for your staff and any others who may be affected. Please either complete our Health and Safety/Risk Assessment Form here or supply your own risk assessment and send to abi.marko@hsj.co.uk no later than Thursday 27 August 2026.

All persons involved in the exhibition build and break down periods are required to wear personal protection equipment including a high visibility jacket and appropriate footwear, this must be supplied by yourself. PPE will not be provided. 

To help exhibitors prepare, the venue has issued a survival guide containing essential event information and useful tips.


Public Liability Insurance 

Please note that valid Public Liability Insurance documents must be submitted by all exhibitors no later than Thursday 27 August 2026, as this is a mandatory requirement.


Gangways

The gangways used in this venue are the minimum permissible by law and have been subject to approval by the Local Authority. Under no circumstances will exhibits, stand dressing, tables and chairs, etc. be allowed to encroach into the gangways. All exhibits must be kept inside your space at all times.

Delivery Instructions

Deliveries will be accepted by the venue between 08:00 - 21:00 on Sunday 27 September and ideally, you will need to be onsite. No deliveries will be accepted before 27 September. Telford International do not have space to store any items trying to be delivered before this date. Any attempt to have items delivered before the 27th will be turned away.

Telford International can sign for deliveries on the 27 September but items will be unchecked so if there are any issues will not be held liable.

Failure to label deliveries correctly may delay your set up and build onsite and could also result in your delivery being turned away from the venue. Deliveries can be collected from: Tuesday 29th from 14:30

Collections

All items must be removed from the exhibition and networking area by 18:00 on Tuesday 29 September or they will be thrown away. There is no storage facility at the venue for items left after the event. 

(Collections should be arranged between 1430hrs and 2200hrs on Tuesday 29th September 2026)

  • The courier must provide the full company’s name and number of boxes that are being collected. The venue reserves the right to decline collection if sufficient information is not provided.
  • Please make sure that all shipping charges are settled before the delivery/collection as the venue cannot be responsible for settling these charges.
  • Please ensure that all documentation attached concerning the pickup e.g. are correctly filled out and signed. Telford International Centre staff are not authorised to fill out or sign any of these documents

 

Loading Bay

On arrival at Telford International Centre, deliveries will be directed to the relevant delivery door for the event. Gate B, Hall 2 loading bay.

Trolleys are not readily available at the venue; recipients of deliveries must ensure that they can transport items from the loading bay to their stand location.

Unfortunately, there will be no storage facilities available on-site and packing materials MUST NOT be stored within the exhibition areas.

 

Security

Whilst we will take every precaution to protect exhibitor’s property during the event, neither the organisers nor the venue is responsible for any loss or damage. The responsibility for the security of each individual stand and exhibit lies with the exhibitor. Valuables should be locked away overnight and additional care should be taken during exhibition build & breakdown. Please contact our official contractor GES should you wish to hire lockable cupboards for your stand.

In the unlikely event of a theft, please report to the organisers’ office immediately.

 

Trolleys

Exhibitors are reminded to bring trolleys for use during the build-up and breakdown of the exhibition. Trolleys are not readily available at the venue; recipients of deliveries must ensure that they can transport items from the loading bay to their stand location.

 

Waste Management

TIC cleaning services team will dispose of general rubbish, please note that additional charges may incur for excessive waste removal, hazardous waste, excessive food waste, stand cleaning etc. Hire of skips can also be arranged at an additional cost if required. Travel

Telford International Centre is easy to access. By car, it’s conveniently located near the M54, with ample on-site parking available and plenty nearby. Travelling by train? Telford Central Station is just a 10-minute walk or a short taxi ride away. Bus services also operate frequently between the station and the venue. If you're flying in, Birmingham Airport is about a 50-minute drive, and connections via train or car make the trip straightforward.

Wi-Fi

Complimentary Wi-Fi broadband is available in the exhibition hall; however, if internet is integral to your stand display you may wish to order a hardwire connection through TIC. This can be done via the online portal: https://client.tictelford.com/hsj-patient-safety-congress-2026/

Catering

There will be multiple catering points around the exhibition floor, and all the congress refreshment breaks and networking lunches will take place here.

Stand catering

You can order catering (food, coffee machines) from the venue directly to your stand via the TIC portal. Kindly note for any exhibitors looking to serve external catering from their stand, TIC need to check the vendors documents etc in advance to approve and may be subject to a corkage fee dependant on the vendor.

Car parking

Telford International Centre has the use of approx. 1500 car parking spaces onsite which includes a number of accessible visitor spaces.

For a full car park plan please refer to Venue & Town Parking for full details. Please note that overnight sleeping in vehicles / caravans is not permitted at Telford International Centre unless written permission is given under specific circumstances.

Parking

Onsite car parking is available complimentary for exhibitors. All exhibitors should use GATE B and park on car park 3 - onsite security will direct you on the day. Please fill out a parking pass prior to arrival and have ready with you when arriving on site. Cars can be left onsite overnight - however please note the car park will be locked and will not be accessible until the following morning. Find Parking pass label here.
